Booth Description


Booths are assigned on a first come first serve basis, with priority given to our sponsors. Please indicate your first, second and third choice on your registration form.

Standard Booth Includes: 

  • 8’ skirted table

  • chair 

  • roster of attendees, distributed during the conference

  • company listing on the conference webpage

  • complimentary refreshments served in the exhibit hall

  • 2 representatives allowed per space

Electrical: additional $50 fee applies.  Please indicate on your registration form and arrangements will be made for you.  


Space will be reserved with a completed registration form and arrangements made for payment.  Space can only be reserved through the MAPA exhibits administrator in accordance with instructions in this prospectus. No booth thus secured may be subleased except with the consent of the exhibits manager. 


MAPA retains the right to change exhibit locations for causes beyond the control of MAPA or if it becomes advisable in the best judgment of the exhibits manager. All such changes will be discussed with the exhibiting firm in advance, if possible.

Each 2017 Fall Conference Sponsorship includes unique benefits outlined below.

Attendee registration for the Spring CME will open in January.  That’s 2.5 full months of marketing and advertising for this event!

Hotel Policies


"The exhibitor assumes the entire responsibility and liability for losses, damages and claims arising our of exhibitor's activities on the hotel premises and will indemnify, defend and hold harmless the Hotel, its owner and its management company, as well as their respective agents, servants and employees from any and all such losses, damages and claims"  


Due to the layout of the Hotel, storage space is not available for display materials an/or show merchandise.  At the conclusion of the set-up operation, all related equipment, crates, trash, ect. must be removed from the premises no later than the last day of the exhibit show period.


No outside food and/or beverage shall be permitted to be brought on hotel property.



Shipping & Deliveries


Any boxes that are being shipped can arrive 3 business days prior to the conference. 
All packages that are shipped to the hotel MUST be labeled like the following example:

The hotel also has the following policies:
  • The Hotel is not responsible for preparing out-bound items for delivery; it is the responsibility of the guest, including but not limited to preparing pallets, boxes or labels.
  • The Hotel is not responsible for the breaking down of packaging of in-bound items; it is the responsibility of the guest, including but not limited to unpacking/breaking down of pallets or boxes.  
  • The exception being when special arrangements are made between the group and the meeting planner/manager, which requires hosts to unpack materials (e.g. a group requests to have their own pads and pens placed at each place setting). 
The hotel has the following policies in regards to shipping “out” packages after the conference is completed:
  • The guest’s account number must appear on the shipping label. All labels, boxes, tape must be provided by the vendor.
  • The guest is responsible for calling the shipping company and telling them there is a pick-up waiting with our Purchasing department.
  • The Hotel is not responsible for preparing packaging, it is the responsibility of the guest, including but not limited to preparation of pallets, boxes, or labels.




  • MAPA will not guarantee the security of your unattended booths. 

  • All exhibits must be installed and ready by 10:00 AM 

  • No exhibit may be removed prior to close at 3:30 PM

  • Offensive promotions by exhibit personnel will not be tolerated. 

  • Smoking and alcoholic beverages are not allowed in the exhibits. 

  • Orders may be taken, but exhibitors wanting to complete sales (money exchange) during the meeting must contact the exhibit manager for approval. 

  • MAPA reserves the right to deny booth space to any company whose products do not contribute directly to the meeting registrant’s medical practices.




In the event of a cancellation, notice must be received, in writing,  two (2) weeks before the event (or by March 1st) to receive a full refund minus a $50.00 per booth administrative fee.  Cancellations made after that date, when the booth cannot be resold, will be ineligible for a refund and MAPA will retain 100% of the exhibitor’s contract obligation.
